**The Opportunity**
Vital Energi is experiencing rapid and extensive growth, resulting in the HR Department requiring additional resource of a **HR Assistant** to assist with the Human Resources management of over 500 employees. The HR Assistant will provide, organise and administer a comprehensive HR administration service / support to all Directors, Managers, Supervisors and employees within the company.
**The Role**
The role will involve:
- Providing accurate HR administrative support to the department and Company on a daily basis; taking day to day direction from the Group Head of HR and Group HR Office & Payroll Manager
- Monitoring & responding to the HR inbox - be the first point of contact for all HR-admin related queries
- Ensure the HR database (Cezanne) is up to date and accurate
- Orchestrate all pre-employment correspondence & checks for new starters; from ordering equipment, references, general communications and ensuring they are submitted to payroll for submitting
- Assist with maintaining all the filing for the department to a satisfactory standard
- Assisting with general HR administration duties that fall within department’s remit as directed by the HR team
- Assist the department with submitting all changes of terms and conditions, new starters, leavers etc to the Payroll Department on a monthly basis
- Provide HR assistance to the Group HR Office & Payroll Manager and Team when required; covering periods of absence/ holidays.
- Acquire a basic understanding of the training administration processes and procedures
- Book training/routine courses and respond to training enquiries
- Ensure all new starters Training records are added to the Cezanne database accurately.
- Send out mandatory (e-learning) training requests/ notification for existing and new employees
- Use Cezanne to monitor upcoming course expiry and book relevant courses where necessary
- Complete internal paperwork, and send joining instructions to course delegates & monitor attendance
- Issue Training Agreements where relevant
- Coordinate the payment of invoices
- Complete the Training Credit Card monthly return on Cezanne
- Ensure validity and expiration dates of skill cards/CSCS/ECS
- Assist with the administration of site cards, including identifying requirements for new starters
- Keep all departmental Training matrix’s updated once training completed.
- To maintain departmental needs ensuring employees understand their responsibilities regarding courses they need to attend
- Build relationships with training providers
- Ensure all training budget spreadsheets are kept up to date where applicable
- Liaise with the management team to identify future training requirements
- Arrange training facilities as required e.g. training room, copy training material, book refreshments etc.
**The Person**
- Skills and Experience: _
- 5 GCSE’s Grade C and above
- Knowledge of HR concepts, principles, and practices
- Computer literate with knowledge of Microsoft Office Packages
- Administration experience
- Experience in using a HR Database
- 3 A Level’s Grade C and above (desirable)
- Degree qualified (desirable)
- CIPD Level 3 (desirable)
- A full UK driving licence (desirable dependent on location)
