**Job Title: HR and Finance Assistant**

**Reports to**: HR and Finance Manager

**Working Pattern
- Monday to Thursday 9am - 5pm**

**Start date**: As soon as possible

**Hours** of work: 30hrs per week Monday to Thursday
**Grade/Salary**: £19050.00 per annum

**Job Purpose**:
To provide comprehensive financial and administrative support to the HR and Finance team. This role will help ensure the smooth operation of core administrative processes, accurate financial record-keeping, and timely processing of transactions in accordance with local authority policies and safeguarding responsibilities.

**Key Responsibilities**:
**Finance Support**:

- Process orders, invoices, and payments in line with financial procedures.
- Researching order items to ensure best value
- Assist in budget monitoring and preparation of financial reports for managers and stakeholders.
- Maintain accurate and up-to-date financial records and documentation.
- Reconcile financial transactions and resolve any discrepancies with suppliers or internal teams.
- Support the tracking and monitoring of departmental expenditure, including staffing costs, petty cash, and grants.
- Liaise with external vendors and internal departments regarding finance-related queries.

**Administrative Support**:

- Provide general administrative assistance including filing, photocopying, data entry, and handling correspondence.
- Maintain and update databases related to staffing, recruitment, and finance.
- Assist in coordinating meetings, taking minutes, and distributing agendas and action points.
- Provide HR administrative support such as processing new starter documentation, DBS checks, and maintaining training records.
- Handle sensitive and confidential information in line with data protection and safeguarding guidelines.

**HR and Compliance Support**:

- Help maintain staff records including absence, training, and performance management data.
- Support safer recruitment practices in line with statutory requirements.
- Assist with onboarding processes and induction packs for new staff.
- Monitor mandatory training and support compliance reporting.

**Person Specification**:
**Essential**:

- Experience in finance or administrative roles.
- Strong numeracy and attention to detail.
- Excellent organisational and time management skills.
- Proficient in Microsoft Office, particularly Excel and Word.
- Ability to handle confidential and sensitive information with discretion.
- Good communication and interpersonal skills.
- A good understanding of GDPR

**Desirable**:

- Experience of working in administration within a children’s social care setting.
- Able to design and create documents eg Canva
- Familiarity with HR and finance systems (eg Xero, Ucheck).
- Understanding of safeguarding and safer recruitment practices.

**Additional Information**:

- Post holder will be required to undertake a DBS check.
- Some flexibility in working hours may be considered.

Pay: £19,000.00-£19,050.00 per year
