A vacancy has arisen for an enthusiastic and driven Management Assistant to support the Contracts & Facilities Team within Education & Children's Services.

You will be required to maintain admin and clerical systems, provide comprehensive admin and clerical services to the Contracts and Facilities comprising of the Investment In Learning (IIL), Contracts and Catering Teams.

The key areas of responsibility will include:

- Monitoring and collation of information in relation to Tayside Contracts and provision of reports in respect Tayside Contracts Performance.
- Monitor, support and assist with cashless catering system including liaison with schools, finance, Tayside Contracts, the external provider and others as required.
- Collating information and produce reports from the cashless catering system.
- Liaise between schools and Tayside Contracts in relation to faults and tasks as reported.
- Respond to all catering, cleaning and Facilities Management enquiries including customers, Tayside Contracts, external service provider etc.
- Assist in the management of Lets including liaising between schools, Property, Tayside Contract and end customer.
- Use of PECOS and Integra to order, receipt and process invoices including end of year reconciliation as required.
- Manage a commitment budgeting system.
- Organise meetings; including room bookings, preparing agendas, minute taking and distribution, follow up action.
- Be competent in use of Microsoft Word, Excel, Teams and PowerPoint and other data bases to produce reports, letters, spreadsheets, and presentations as required.
- Receive visitors, dealing with routine enquiries personally and on the telephone.
- Respond to initial telephone contacts, referring to team members as required.
- Providing IT support to the teams.
- Assist in the management of incoming and outgoing mail.
- The post holder may be required to perform duties other than those given in the job description for the post.

The Council is currently progressing with a hybrid working model offering access to office working on some days/when required. Initially this is on a temporary basis with longer term options becoming available in future. **The Individual**:
You must have relevant experience working in an office environment.

You must have Knowledge of clerical/admin procedures.

You must have experience working with Microsoft packages and accurate keyboard skills, it would be beneficial if you have experience of PECOS and Integra.

You will have Experience in minute taking.

You must have the ability to work on own initiative with minimum level of supervision and the ability to manage own workload and prioritise.

You must have the ability to work under pressure.

The ability to treat colleagues and customers with dignity and respect as per the Employee Charter and have an anti-discriminatory attitude.

You have a personal responsibility for taking care of yourself and others and must comply with all relevant Health and Safety legislation.

You should have efficient and effective communication skills. The ability to liaise with other professionals in an appropriate manner.

You will have the ability to work in a variety of situations and meet tight deadlines with accuracy. You should have proven organisational and prioritisation skills.

You should have a good standard of general education and would be beneficial if you have an administration qualification. You should have a willingness to undertake further training/education.

You must have the ability to build good working relationships with others and work as part of a team. You should have experience of decision Making & Problem Solving. You should have objectivity in coping with difficult situations. You must be able to cope with the demands of the job and attend on a regular basis.
