Administration Assistant

**General Purpose**
Perform a wide range of administrative and office support activities for the Agency and/or managers and supervisors to facilitate the efficient operation of the organisation.
**Main Job Tasks and Responsibilities**:
- Reception duties:
- Answering the telephone.
- Greeting visitors as appropriate, including offering refreshments.
- Resolve any administrative problems and enquiries.
- Handle requests for information (professionally and confidentially)
- Schedule and coordinate meetings, appointments and training events
- Open, sort and distribute incoming post
General clerical duties:
- Scanning and photocopying
- Shredding
- Mailing
- Prepare written responses to routine enquiries
- Maintain office supply inventories, including coffee, tea and sugar
- Coordinate and maintain records for staff, telephones and petty cash
Filing:
- Maintain electronic and physical filing systems
- Store and retrieve documents from the filing systems
Meetings:
- Prepare meeting agendas.
- Record, compile, transcribe and distribute minutes of meetings
Other tasks and duties as required may include:
- Typing
- Locating a document or file
- Researching and organising Agency-led group activities
**Education and Experience**:
- GCSE’s in Maths and English
- Excellent computer skills and knowledge of relevant software and IT
- Knowledge of clerical and administrative procedures and systems such as filing and record keeping
- Knowledge of principles and practices of basic office management

**Job Type**: Part-time
Pay: £14,950.00 per year
Expected hours: 25 per week
