Employability Administrative Assistant

Applications are invited for the above fixed term, part-time post working in the Employability Service to provide maternity cover. Duties will include providing administrative support within the Employability Service, with specific focus on the TARGETconnect and work experience team but also contributing to the reception function and administrative tasks of the Employability team as whole.
The ability to communicate in Welsh is essential for this post.

Purpose of the Job
To provide administrative support within the Employability Service, with specific focus on the TARGETconnect and work experience team but also contributing to administrative tasks of the Employability team as whole. This post reports to the Graduate Recruitment and Work Experience Manager.
Main
**Responsibilities**:
Providing administrative support for the TARGETconnect and work experience team as follows:
- provide general administrative support to the Graduate Recruitment and Work Experience Manager.
- organise the social media campaigns and content for work experience and opportunities.
- support the team and academic schools in the organisation of placements and work experience.
- organise publicity for the placements and work experience schemes across the University.
- update and maintain the Service’s online provision and resources.
- collect and manage service information including usage statistics, service feedback and placement records.
- approve and publish opportunities and placements on TARGETconnect.
Provide administrative support for the Employability Service as a whole:
- contribute to online and in-person reception functions within the Employability Service;
- respond bilingually to telephone and online enquiries from students, staff, graduates and employers, making referrals and appointments as appropriate.
- provide data entry or information updating support as required across the service.
- provide administrative support for events such as workshops and short courses, employer presentations etc.
- provide general administrative support to the service;.
- any other duties appropriate to the grade as directed through line management.

**Responsibilities**:
- The post holder will be expected to participate in performance review and developmental activities.

Essential:

- Experience of working within an office /administrative environment.- Experience of dealing with queries and providing information to students and employers.- Experience of working with databases.- An understanding of legislative requirements relating to equality, data protection and freedom of information.- An understanding of the needs of culturally diverse staff and students.- Knows when a decision is beyond the roles level of responsibility and when to refer to others.Desirable
- Experience of working within a Higher Education environment..

Essential
- Good communication and inter-personal skills, with the ability to communicate effectively, both orally and in writing and with proven ability to communicate effectively and professionally with a wide range of people.- Excellent organisational skills and ability to handle a varied and demanding workload, prioritising tasks and meetig deadlines.- Accurate data entry and attention to detail.- Ability to be proactive and identify and recommend changes for improvement where appropriate.- General
