We are currently recruiting for an Estates Services Coordinator
**This role is Hybrid
- 2 days working from our Head Office in Altrincham and the rest from home**
**Salary between £28,000 to £30,000**
**Role Purpose**
Responsible for administrative support for the Lookers Estates Services Team to ensure records and associated documentation are kept up to date. Support adherence to and the implementation of Estates Services policies and procedures. Support a centralised Estates Services model that will add value, innovation and efficiency. Support the implementation a new job logging system and subsequently expanding this to a new asset register portal for suppliers, effectively creating a full help desk function. Act as a channel of communication and escalation between internal customers, Health and Safety colleagues and FM contractors engaged in maintenance of the estate. First line of financial control, checking invoices against tasks raised via help desk. Point of contact for facilities related emergency calls. Cover for wider Estates Team in instances of leave and absence.
**Key Accountabilities**
**Strategy and Development**
- Contribute to the creation and implementation of best practice Estates Services vision, strategy, policies, processes and procedures to aid and improve operational performance.
- General and Task Management
- Ensure that Estates Services policies and processes are supported and adhered to in order to enable the company to function and compete effectively and to ensure assets are protected.
- Create and review opportunities to deliver best value and business savings and review and negotiate on quoted and non-compliance works as appropriate to reduce costs.
- Assist in the effective management of Estates Services suppliers and select and develop new suppliers
- Assist in the effective management of all supplier contracts and their associated repositories to support Estates Services activity.
- Assist the Estates Services team to help ensure that the function operates in accordance with any health, safety and environmental policies and procedures to ensure the safety and wellbeing of staff and visitors
**Relationship Management**
- Develop and maintain strong relationships with internal and external stakeholders to ensure optimal performance and work collaboratively, negotiate and engage with internal stakeholders to facilitate delivery and compliance with the Estates Services strategies
- Contribute to new business initiatives and projects and assist in the review and communication of the impact on facilities and security activities
**Skills, Knowledge and Experience required**
- Facilities experience
- Experience of dealing with security & FM contractors
- IOSH/EBOSH (preferred)
- IT Literate (Microsoft, CAFM packages, H&S software, databases)
- Good interpersonal skills
- Good organisational skills
- Self-motivated
