Role: Business Support Administrator
Pay: £13.98 per hour
Location: Livingston office
Assignment: 6 months
**Responsibilities**:
- Ensure administrative procedures and databases are updated to meet organisational requirements
- Maintain effective file management in line with GDPR and company policy. The post holder is responsible for ensuring that all records and the disclosure of records are within policy and best practice.
- Undertake any other appropriate duties consistent with the aims of the organisation.
- Provide an excellent telephone response service and offer guidance or direct calls as appropriate, closely following script and sign-posting information provided
- Log all call details through bespoke online portal
- Attend and provide updates to daily team briefings.
- Ensure sensitive paperwork is destroyed in line with company policy
- Process external mail including use of franking machine
- Responsible, with other colleagues, for the booking and co-ordination of travel for all staff (including SMT where requested): organise and book all travel requirements where necessary through the procurement process.
- Support the Business Services team in overseeing the maintenance of the office, ensuring areas are kept organised and well stocked.
- Organise events as required e.g. All Staff Meetings, taking responsibility for communication, venue bookings, attendance lists and agendas, assistance and special requests etc.
- Responsible for monitoring and ordering catering and refreshments for the Denholm House office.
- Responsible for the monitoring and administration of the shared desks booking system.
- Proactively support the Well-being agenda, organising training and resources as well as communications.
- Provide administrative support to Equalities Committee, tracking actions and following up.
- Support the Business Services team with the collation and analysis of data for reporting and auditing purposes.
**Experience Required**:
- Previous Office Admin experience is essential
- Ability to prioritise workloads and work at base
- Competent administrative skills and ability to work with accuracy
- Excellent communication skills
- Experience of using excel
- A valid basic disclosure is required for this role.
