**WORKING HOURS**:25 hours per week, Monday to Friday, 9am - 3pm slight changes to working hours could possibly be accommodated (1 hour unpaid lunchbreak)

**JOB OVERVIEW**
We have a fantastic new job opportunity for a Facilities Administrator / Maintenance Coordinator & Administration Assistant who has good interpersonal skills, is IT literate using Microsoft Office with previous experience within an administrative role.
Working as a Facilities Administrator / Maintenance Coordinator & Administration Assistant you will be in a very pro-active role to assist the smooth and efficient running of the department responsible for all aspects of administration.
As the Facilities Administrator / Maintenance Coordinator & Administration Assistant you will report directly to the Facilities Manager and will ideally have an engineering or construction background.

**DUTIES**
Your role as a Facilities Administrator / Maintenance Coordinator & Administration Assistant will include:
- Monitor workflow, issue and input completed worksheets, general management of the maintenance system
- AX for the maintenance department, invoices, quote uploading etc
- Collate and process engineer’s timesheets and holiday requests
- Input holiday and absence information to timeware, keeping facilities manager up to date
- Arrange contractors to support facilities manager if requested
- Maintain and update accurate COSHH information in central file
- Monitor a skills matrix for maintenance engineers, provide feedback and quotes where required
- Monitor/arrange servicing and report any defects or none compliance to facilities manager
- Cover for facilities manager while on leave/absent
- Ensure that all documentation and records for the department are kept up to date
- Arrange quote uploads to AX for waste collections and oversee waste levels keeping facilities manager up to date. 3d printer ink, batteries and waste oil are examples
- Upload costs to AX and arrange sprinkler pump fuel deliveries and used drum collections
- Uploading costs to AX and arranging consumable items for cleaning team
**CANDIDATE REQUIREMENTS**
- A proven track record in a similar role
- Full driving licence
- Engineering or construction background with previous experience in a similar role
- General administration experience/IT literate including a good working knowledge of Microsoft packages including word excel and AX
- A focused team player with a strong character
