**Purpose and objectives of the role**
- To work as part of the administration and reception team in coordinating delivery of patient care.
- Key responsibilities of the post-holder will involve contributing to managing administration of patients. This includes communicating with patients regarding appointments, test results and hospital letters.
- Opening post and scanning onto the practice clinical system.
- Other duties will include providing administrative assistance and support to the wider team as required.
**Main duties and responsibilities**
- Work efficiently and effectively to ensure a seamless operation between Clinician and patient.
- Taking messages and delegate to correct recipient in a timely manner.
- Completion of new patient registration forms.
- To be able to work flexibly to provide holiday/sickness cover when required.
- Other admin and clerical duties as required.
- Communication via phone or text message with patients regarding appointments and clinics.
- Clinical reporting on SystmOne
- Liaise with external organisations when appropriate.
- Filing and retrieving paperwork.
- Data input from internal & external services/sources.
- To undertake audit tasks as required by Practice Management & Clinicians
- Support and guide members of staff in the use of the computer system
- Ensure security of data at all times
**Competencies**
- System One Experience (or Other similar clinical system)
- Sound knowledge of Windows and MS Office
- Awareness of data security requirements
- IT literate
- Good verbal and written communication skills
- Problem solving skills
- Flexible approach, team player
**Confidentiality**
- In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately.

The post-holder will assist in promoting and maintaining their own and others’ health, safety and security as defined in the Practice Health & Safety Policy, to include:
- Using personal security systems within the workplace according to Practice guidelines
- Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks.
- Making effective use of training to update knowledge and skills.
- Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
- Reporting potential risks identified.
