- Our client is a bespoke design studio and workshop producing unique custom made designs in-house. They take great pride in delivering high quality pieces and hand finishes produced by our team of expert skilled designers and onsite crafts people.
- Job overview:
- Administrator required for London, based manufacturing company producing high-end luxury goods for the interiors market. Supporting the production team and the wider company across all teams and locations to provide a range of business support duties for your colleagues and co-ordination of regular production office activities.
- This role is supporting the production management team but cross pollinates with all areas of the business in order to provide continually reliable, efficient administration to run the business. You need to be a great communicator, detail orientated and personable. As well as data administrative tasks you will need to be welcoming to all visitors including both suppliers and customers to our unique creative production workshops which houses a diverse range of artisanal processes & craftspeople. We are looking for a friendly approachable person, able to cope with the challenges of a busy production schedule.
- Objectives:
- Ensure general management of office by overseeing operational efficiency, effective communications, and other strategic and tactical planning.
- Manage company facilities, vendor contracts and relations, and office functions and services.
- Serve as primary liaison between company staff and building managers, providing information, answering questions, and responding to requests.
- Oversee and achieve organizational goals while maintaining an efficient, productive, and positive office culture and employee /visitor experience.
Duties and responsibilities:
- Greet office visitors, answer and direct phone calls, field inquiries from other departments.
- Maintain office efficiency by arranging repairs.
- Perform a variety of administrative duties, such as generating and distributing memos, letters, spreadsheets, forms, and sorting and distributing incoming mail - Maintain databases, track accounts, and assist with copying and distributing production orders and other internal documents.- Update spreadsheets used by accounting & production.
- Schedule and track meetings and appointments, book vehicles, and handle logistics for production schedule collections/deliveries
Required skills & Qualifications- Proven success in office administration.
- Superb written and verbal communication skills.
- Strong time-management and multitasking abilities.
- Ability to maintain confidentiality of company information - High school diploma or equivalent.
- Preferred skills and qualifications- Bachelor’s or associate’s degree (or equivalent).
- Experience in managing budgets and expenses.
- Experience in developing internal processes and filing systems.
