**Job Description**:
We have an exciting opportunity for a **Product Team Administrator **to support the Europe Product organisation and Leadership Team. The role is based in London. We are looking for applicants who are reliable, flexible with excellent organizational, communication and problem-solving skills. This position will be responsible for a broad range of administrative support and coordination duties to ensure the smooth functioning of the department.
**What we expect you to do, day to day.**
- Provide the Europe Product team with administrative support for day-to-day administration (for both well established as well as ad-hoc tasks), and individual projects.
- Provide general administrative support to the Leadership team including logistics, travel & expense management. Arrange domestic and international travel, complete travel expense reports, and manage logistics of travel-related activities.
- Manage the scheduling and planning of onsite and offsite team meetings, events, lunch & learn events, training, employee engagement events, including assistance with meeting agenda, preparation, collation of materials, minute taking and distribution of actions, securing venue, coordinating conference room set-up, catering, A/V, and other logístical arrangements.
- Provide on-location support for team activities such as group meetings, team outings and volunteering.
- Align closely with other EAs in the Product function.
- Serve as point of contact for office visitors (including company personnel) and deliveries.
- Perform team support duties including ordering office supplies, arranging gifts, booking meeting rooms, processing training registrations, and updating distribution lists.
- Coordinate on-boarding of new employees and contractors, and associated tracking, as well as assist in offboarding activities.
- Assist with locker and space management, workspace move requests and submit facilities work orders
- Expense management: Handle expense reports and reconciliation on behalf of the leadership and their teams.
- Manage agreements, contracts and invoicing with outside consultants and contracts; create purchase requisitions as needed. establish PO’s, work agreements and receipting.
- Assist with developing and updating PowerPoint presentations, Excel spreadsheets, and other charts and documents in support of team activities.
- Partner and coordinate workload with other administrative team members and provide backup support when needed.

Proactive and collaborative individual with a ‘can-do’ attitude and experience working in a fast-moving environment, supporting senior leaders
- Extreme attention to detail, strong problem-solving skills, and superior organisational skills in pursuing and completing, to full resolution and satisfaction, multiple and overlapping tasks
Exceptional judgment and discretion regarding information, which may be confidential, material and/or non-public
- Prior experience managing and tracking expenses; experience with Oracle iExpense and iProcurement helpful
- Track record of success in either a similar administrative role or other role with relatable skills
