Shifts: 37.5 hours per week, 7.5 hours per day Monday to Friday on a rotating shift within the current hours of 7am-8pm

**Purpose of role**
We’re looking for someone who has a flexible attitude and adaptable approach in order to prioritise a varied workload within Mail and Reprographics. We want you to provide a high level of customer service in all mail and distribution activities, working as an integral part of a small team.
**Key Responsibilities**
- To provide a high level of customer service in all mail and distribution activities, demonstrating professionalism at all times
- Working as an integral part of a small team, able to manage workflow and prioritise a varied workload
- Take ownership and cover Team Leader’s absence
- Ensure work is correctly prioritised and deadlines are met
- To work with enthusiasm, using own initiative and highlighting issues when appropriate to the Mailroom Manager
- To count, sort and process mail into Digital Mail system for incoming mail
- To collect, sort and despatch internal mail from internal mail trays
- To despatch outgoing mail via CMS service provider
- Book and oversee outgoing couriers through Courier Portal
- To collect and deliver mail from all floors on scheduled rounds
- Handle received goods and their distribution utilising the MAILTRACK system for incoming signed items
- To deliver courier packages and cover at the courier desk when required, taking receipt of goods and following the appropriate procedures to ensure safe delivery to clients of such goods, as well as advising clients of the best way of distributing their documents and parcels.
- To follow all administrative procedures by completing logs and signing for items as directed in the Mailroom Procedures Manual
- Be familiar with and able to operate all equipment within the Print Room to ensure work is produced in the fastest, highest quality manner
- Produce work to specification and schedule, minimising operational wastage
- Liaise directly with Senior Operator / Manager on a regular basis to give updates so that the client requirements can be effectively managed, highlighting potential issues with work or deadlines
- Resolve ambiguities on work tickets with the Senior Operator, Manager and end users as appropriate
- Pro-actively planning for any pre-booked work or low stock levels
- Advise users on the best method of production
- Build and support excellent client relationships and keep them updated at all times
- Assist with calling out and recording of all equipment faults
- To punctually complete time-sheets, work tickets, job bookings and overtime forms to give an accurate reflection of time spent and work undertaken
- To meet service level targets set on an individual and team basis
- A willingness to undertake overtime when this is required during the week and weekends
**Essential skills**:
- Previous mailroom and print room experience is essential
- Demonstrable customer service and workflow skills
- Possess a critical eye in terms of accuracy and attention to detail
- Display an adaptable and flexible approach
- Own a positive ‘can do’ attitude
- Good literacy, verbal reasoning and numerical ability
- Ability to work as part of team
