A fantastic opportunity for an Office Administrator to join a bespoke Business Management and Chartered Certified Accountancy Firm advising business in the Music, Sport, and Entertainment industries. As Office Administrator, you will be the first point ofcontact for all clients, providing executive support for the Senior Management team, administrative support for all Business Managers and working with the General Manager to improve office workflows.

DUTIES INCLUDE:
- Office Management - assist staff and clients for smooth business operations, in an office of 20+ people. Includes: welcoming and directing visitors, manage physical environment of office, inventory management (e.g. stationery, IT, catering) and liaisingwith building management to arrange office maintenance as required
- Executive Support & Diary Management - directly to Senior Management Team, and to manage shared calendars for meeting rooms: arranging and overseeing meetings, both physically and online, organising air and ground transport and festival/convention ticketsfor Management and Staff. Software used: Microsoft Outlook, Teams, Zoom.
- Payment Setup - daily processing of domestic/international client payments and organising distribution of remittance advice to business managers
- Data Entry - updating records and databases for personnel and clients, including internal trackers to manage staff absences, post/courier recharges, office supplies, etc. Prepare recharge invoices and recurring retainers for clients on Xero.
- Onboarding - Liaising with clients and their teams to obtain Anti-Money Laundering documents, preparing and distributing contracts and updating databases. Using Mail merge to create engagement letters and contracts via Microsoft Word and Excel. Uploadingrelevant data into TaxCalc and Virtual Cabinet.
SKILLS, EXPERIENCE AND ATTRIBUTES REQUIRED:
- Exceptional organisational and time management skills
- High standard of literacy, verbal and written communication
- Excellent attention to detail
- Self-starter mindset - has the initiative to prioritise tasks and put forward new initiatives or insights
- Intermediate computer skills - Excel, Outlook, Word. Previous Experience with Xero, digital filing programs, and e-signing software is a plus
- Adaptable to change in a fast-paced environment
- Aptitude for helping other people
- Experience in a relevant role
