Our client is an established, expanding company who has a strong reputation for delivering
architectural solutions helping businesses to reduce carbon, energy and waste. Currently in their 12th year, the management team continues to expand the business, and requires highly
professional support staff to manage the office and administrative functions.
The Office Manager will sit at the heart of the organisation and is involved in all areas of the company’s work, supporting the consulting, commercial and customer service teams as well working closely with the directors, ensuring the efficient running ofthe office and maintaining effective administrative systems across the organisation, with the assistance of a junior administrator.
You will need to have a minimum of 5 years’ experience in an administrative role, including management experience, with outstanding communication skills and exceptional administrative skills. The role would suit a highly organised and proactive individual.It is a busy role so will require planning, a positive attitude and working independently or collaboratively.
**Key Responsibilities**:
- Collaborating with the sales and customer service teams and communicating with external clients and suppliers on behalf of the directors
- Supporting the directors with diary management and correspondence
- Ensuring compliance with our company policies and relevant legislation, reviewing and updating those policies where necessary
- Managing a member of staff who will undertake maintenance of administrative systems and office supplies and equipment, bookkeeping and organising company events
- Managing some simple contracts with clients
- Providing HR support to directors
- Providing ad-hoc research and project support to the directors
**Qualifications**:
- However, high-level experience within a similar role, taking on responsibilities in high-pressure environment will also be acceptable.
**Experience**:
- Proven skills in administration, coordination, and project support
- A minimum of 5 years’ experience in an administrative role
- Experience of working in an SME (Small or Micro Enterprise)
- Experience of bookkeeping and using accounting software
- Extremely computer literate (proficient in using Google Workspace and MS Office suite)
- Experience of managing and training other members of staff
**Knowledge and Other Skills**:
- Outstanding communication skills in person, in writing and on the telephone
- Excellent organisational and administrative skills with a systematic approach to work
- Self-motivated, with the ability to work unsupervised and under own initiative
- Familiarity with legislation in the areas of Health and Safety, Employment, Equality and Diversity and Data Protection
- High level of accuracy and attention to detail
- Ability to prioritise multiple tasks and manage changing schedules and developments
- Experience of using WordPress and WooCommerce is desirable
- Problem-solver, able to identify and implement improvements
