SOS Silence of Suicide is a registered mental health and wellbeing charity which was formed in 2015. Our aims are to reduce the stigma, shame & silence that can prevent open and beneficial conversations around mental health and feelings of suicide.

We are in an exciting phase of carefully planned growth, and we are seeking to appoint an experienced, part time traded services Coordinator to ensure the smooth operational delivery of SOS services, reporting to the Director of Services

**Main responsibilities**
- Scheduling of our traded services such as group meetings, mobile hubs & external training
- Responding to potential customers and customers about enquiries
- Keeping the booking calendar up to date and managing our spreadsheets
- Coordinating mobile hub drivers, emotional support practitioners and trainers for each booking
- Raising invoices
- Anticipating scheduling issues and providing resolutions
- Setting up new team members on all necessary systems
- Liaising with external portal suppliers if there are reported technical issues.
- Working closely with our Data Analyst Team
- Ensuring key information is shared with others within the charity.
- Maintaining and updating a list of active drivers, emotional support practitioners and trainers
- Updating service team member records with key information for review & assessment purposes
- Working to current GDPR standards of which you should have a basic understanding.
- Being the ‘go to’ person for mobile hubs and training bookings
- Monitoring booking numbers
- Monitoring paid employee numbers against operational hours.
- Working closely with our Data Analyst team and distributing key facts
- Creating monthly schedules and monitoring the take up on these.
- We use Teams and two other external portals for scheduling - you will be trained on the last 2. You are expected to be fully conversant with Teams and all other outlook apps
- Following risk assessments for training and mobile hubs in regard to bookings
- Ad hoc and role specific other duties
- Submitting monthly returns for payroll purposes
- Some out of hours working required

2+ years’ experience of scheduling and or rota management preferably within the health, social care or charity sector.

Children and Adult safeguarding experience

Competency skills with Microsoft apps, particularly word and excel
- Confident and courteous in speaking on the telephone.
- High level organisation skills
- High level coordination skills
- Experience in developing and following processes
- The ability to see a task through from start to finish.
- Excellent organisational and time management skills
- The ability to learn quickly.
- Resolution abilities, requiring excellent communication skills
- Used a customer relationship management system before (desirable)
- Working alone but contributing as part of a team. Particularly creating professional relationships with internal and external stakeholders
- Be organised, responsive and pro-active.
- Ability to write a short report each month on area of work
- Experience of or an interest in the mental health charity sector
- Experience of working in small to medium enterprise
- Proactive attitude and willingness to get stuck in. You need to be excited about going beyond the core responsibilities detailed above to improve what we do and make it a success.
- Strong MS app skills including projects and bookings.

Pay: £16,800.00 per year
