Undertake a variety of secretarial and administrative duties to assist in the smooth running of the practice, including the provision of clerical support to clinical staff and other members of the practice team.
- Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.
- Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies.
- Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way as required.
**Duties will include**:
The duties and responsibilities to be undertaken by members of the practice administration team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the Practice Manager, dependent on current and evolving practice workload and staffing levels:
- Processing referral letters, forms, reports on a daily basis, including liaising with patients if needed, etc.
- Providing clerical assistance to practice staff as required, including word/data processing, filing, photocopying, faxing and scanning.
- Processing and distributing incoming (and outgoing) mail.
- Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures.
- Manage, monitor and action complex tasks on a daily basis.
- Clearing and re-stock consulting rooms as required.
- Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers.
- Scanning and coding daily clinical letters onto patient records as required.
- Processing patient discharge summaries written and electronically as required.
- Process any administration tasks deemed necessary.
- Support practice team with administration queries/tasks.
- Maintaining and monitoring the practice appointments system.
- Processing personal and telephone requests for appointments, visits and telephone consultations and ensuring callers are directed to the appropriate healthcare professional.
- Receiving and directing patients on arrival as required.
- Filing and retrieving paperwork.
- Processing repeat/current prescriptions in accordance with practice guidelines as required.
- Keeping the reception area, notice-boards, leaflet dispensers and patient information packs tidy and free from obstructions and clutter as required.
- Processing new patient registrations, temporary registrations and also patient deductions as required.
- Processing incoming patient records ready to be summarised as required.
- Manage and view generic and personal NHS mail account as required.
- Provide secretarial cover.
- Report any learning events, significant events, untoward incidents as is deemed appropriate via the North of England Commissioning Support Safeguard Tool.
- Process organ donation requests.
- To provide cover for members of the administration and reception team for breaks, during periods of sickness absence or annual leave.
- Train and support new members of the admin team when required.
- Add/amend clinical sessions on TPP as required.
- Assist with queries raised in relation to TPP.
- Support the practice to achieve QOF indicators.
- Support the practice to adhere to CQC standards.
- Any other duties required to ensure the smooth running of the practice.
The Practice administration team may also be given individual tasks to complete that are solely that individual’s responsibility.
