We are seeking an experienced individual to join our team here at Health Assured to enable us to continue to meet our growth expectations and ensure that the business and different departments run efficiently. You will provide day to day department supportto the EAP management team for the successful running of the EAP.

**Job Overview**

**Day To Day Responsibilities as a Services Coordinator**:

- Support the Training and Wellbeing Manager and Clinical Support Department with coordination and administrative tasks that support the wider EAP Department and service
- Support with HR related matters throughout the business, ensuring confidentiality is maintained and legislation is always followed
- Manage and distribute work accordingly from the EAP Manager inbox
- Respond to enquiries from clients and Relationship Managers, in relation to EAP and services offered
- Coordinate and organise department related events, namely the EAP quarterly development days and prepare the attendance lists
- Liaise with workforce planning, training, and wellbeing to organise weekly huddles, monthly internal training sessions and external CPD training
- Assist in the planning and coordination of wellbeing initiatives including Fab Friday's, office supplies and other ad-hoc support required
- Arrange one to one meetings and reviews for the Counselling, Advisory, Occupational Health and Clinical Support departments
- Schedule and book weekly and monthly meetings with the EAP/Clinical Services team
- Effectively manage all team absence, holidays, overtime, sickness, and lateness in line with company procedure, ensuring that relevant paperwork is completed and saved to personnel files
- Work closely with workforce planning and EAP Management team to ensure overtime is in place and cover is maintained, providing weekly updates to the management team
- Prepare agendas, take and type minutes for meetings as required
- Keep accurate records in relation to departmental requirements, including but not limited to absence trackers, holiday trackers and Health & Safety records
- Responsible for Health & Safety for the Clinical Services Department, including ensuring DSE assessments are completed
- Ensure the daily contact list is completed and accurate
- Collate and present information regarding counsellor's monthly supervision commitments
- Ensure all team training logs are updated and maintained
- Maintain accurate records regarding counsellors and nurses' qualifications
- Assist in the creation of letters and documentation for the team including return to work forms, investigation minutes, letters of concern, acceptance of resignation and other such HR documents
- Ensuring consistency and good communication between both Manchester and Hinckley offices
- Plan and coordinate travel for EAP Managers when attending client visits
- Ensure all team training logs are updated and maintained
- Provide general administrative and clerical support to the clinical support teams
- Work with the property management team to report faults and issues with any of the office equipment

**Essential Skills and Competencies**
- Good written and oral communication skills
- High level of organisational skills, ability to work to tight deadlines, targets and complete project work to a consistently high standard
- Proven ability to engage clients, colleagues and the most senior of management via telephone, face to face or written communications
- Strong computer skills (Microsoft office Word, Excel, PowerPoint, Outlook)
- To maintain confidentiality and discretion when dealing with any all enquiries, or sensitive information obtained as part of the role
- To always maintain a professional and responsible attitude
- Ability to work independently and maintain accurate records
- The ability and skills to adapt to a fast-paced environment and work under pressure

**Desirable Skills and Competencies**
- High level of computer literacy (MS Office, Word, Excel and PowerPoint)
- To be able to work as part of a busy team and to be able to work on your own initiative.
- To ensure that all written communication is of a high standard and grammatically correct.
- Strong project management skills.
- Experience working within an employee assistance programme.
