**Key Responsibilities include:

- Reception duties - Answering telephone queries and ensure all queries are dealt with in a timely manner.
- The uploading of engineers works/jobs to our Commusoft software.
- Ensuring Engineers have sufficient works on each day and are aware of the location of any parts are that they require to carry out the works for the day.
- Booking in appointments with letting agent tenants and private customers.
- Raising customer invoices and ensuring they are sent to customers/account customers.
- Taking card payments from customers for works carried out and ensuring it is recorded on system.
- Ordering parts and liaising with suppliers to ensure parts are available for jobs.
- Always aim to get best cost
- Check Availability
- Chase suppliers
- Liaise with suppliers to get goods delivered to site or collection by engineer
- Update system on confirmed arrival of good and location
- Loading wholesale invoices and credit notes onto each respective job and ensuring they are matched correctly against the monthly statement.
- Taking customer deposit payments are taken for quoted works before commencement of works begin.
- Updating job notes on system, so colleagues can see what stage the job is at.
- Liaising with our Letting Agent Customers giving regular updates on works that have been instructed at their properties.
- Raise and prepare quotations for new and further works for customers and checking them with the Director before sending on.
- Following up on quotations raised to see if the customers which to proceed.
- Ensuring all customer warranty calls are made to Baxi, Heatrae etc and providing updates to the customer in a timely manner.
- Register boilers, megaflo’s etc on the various sites & Gas Safe when required.
- Run monthly customer service report on the Baxi Works website and ensure customers are contacted to remind them and book in.
- Scan in and accurately storing of essential documents.
- Keeping the office white boards updated with ongoing jobs / waiting parts etc.
- Holiday Cover for posting images and post on Social Media
- Holiday cover for checking company vehicles for MOT, Servicing & Tax keeping records updated / scanning into vehicle files on system.
- To provide support to the Office Manager.
- Any other duties that are required to meet the needs of the business.

**Salary**: £24,000.00-£25,000.00 per year
