Leo Cancer Care: Event Coordinator, Level Ii-iii

**Position Title**: Event Coordinator, Level II-III
**Reports to**: Head of Marketing
**Position Type**: Full-Time, one-year contract
**Location**: Crawley-West Sussex, UK
**Position Summary**:
The Event Coordinator will plan, execute, and evaluate Leo’s presence at global industry events — from major congresses (e.g., ASTRO, ESTRO, PTCOG) to smaller Leo-owned meetings such as the User Meeting. You’ll be responsible for logistics, scheduling, stakeholder coordination, and ensuring every event reflects our business, mission, and values.
**Key Responsibilities**:
- Support the Head of Marketing to plan and deliver events, including: trade shows, user summits, and any other event requiring support, whether that be internally or externally owned.
- Own logistics: accommodation, registration, catering, contractors, stand builds, AV, etc.
- Build relationships with event organisers, speakers, vendors, and internal teams across marketing, sales, and clinical
- Coordinate booth setup, shipping, promotional items, and on-site support
- Assist with speaker prep, agenda creation, and run-of-show documentation
- Support pre-event planning, on-site execution, and post-event follow-up
- Ensure events are delivered on time, to budget, and within scope
- Support in maintaining an annual event calendar and support measurement of ROI
- Provide creative input on branding, experience design, and guest engagement
**Relevant Knowledge and Skill requirements**:
- 2-5 years’ experience in event coordination, ideally in MedTech, healthcare, or scientific/clinical environments, or equivalent university degree in event implementation/management.
- Strong organisational skills and attention to detail.
- Comfortable managing multiple events and stakeholders simultaneously.
- Excellent communication and vendor negotiation skills
- A calm, solutions-oriented attitude in fast-moving environments.
- Willingness to travel internationally (approx. 20-30%).
- Bonus: experience with platforms like Salesforce, Spotler, or event tech tools such as Cvent.
