**Job Description**:
We are looking for an Executive Assistant to support and facilitate the administration of our CEO’s office that is split between London and Paris. The Executive Assistant will assist in matters such as travel logistics, organising exco meetings, calendar prioritisation and general administration. The Executive Assistant will act as the first point of contact primarily for the CEO and assist the CFO (Chief Financial Officer), COO (Chief Operating Officer), CMO (Chief Marketing Officer) and CPO (Chief People Officer) for many people, both inside and out of the company. The Executive Assistant will also develop networks and strong relationships with those in the company to facilitate communication between the CEO and employees.
This is a unique and exciting opportunity for an exceptionally organised and proactive individual capable of navigating an intense but stimulating office environment. As Executive Assistant to the CEO and the wider c-suite team, this person will be at the heart of the world’s largest VFX company and get a unique insight into the film, television, advertising and games industry. Given the worldwide distribution of TCS artists and employees, the Executive Assistant will play an important role in ensuring fluid communication across multiple time zones and continents to, and from, the CEO.
**Qualifications**:
Your duties will include:
- Co-ordination of calendars for the CEO and four other c-suite team members.
- Be the main point of contact for board meetings in both London and Paris and arrange logistics and accommodation for our exec and non-exec board members.
- Be a first point of contact on behalf of the CEO, answering and dealing with incoming queries as necessary and escalating when required.
- Undertake general organisation of the CEO, recognising priorities and flagging issues as necessary.
- Minute meetings as required, circulate actions; create supporting documentation and following up as required.
- Undertake general administrative tasks as necessary.
- Managing and booking travel including coordinating conference schedules.
- Ensure meetings with the team are well taken care of and meeting rooms are adequately prepared.
- Liaise with other PAs within the company to coordinate meetings.
- Act as an ambassador for MPC and the CEO’s office when dealing with people both inside and outside the organisation.
- Ad hoc project work e.g. organising team events and meetings.
We are looking for someone with:
- Significant experience as an EA for an exco position.
- Experience dealing with confidential data together with an ability to exercise discretion in dealing with confidential or sensitive matters.
- Previous experience in a PA role working in a pressurised environment requiring tact, judgement, and discretion in handling internal contacts.
- Proficient IT skills, good working MS Office knowledge.
- Experience of successfully working with executive management or board level positions.
- Excellent organisational skills, ability to multitask and organise others.
- Excellent oral and written communication skills and ability to professionally represent the team and company.
- Ability to work under pressure and be flexible as part of a team.
- Attention to detail and ability to meet deadlines.
- Ability to filter information and assess priorities.
- Ability to think ahead and anticipate needs before they arise.
- Confidence to be able work on own initiative and with limited supervision.
- Fluent in English language. French would be beneficial but not essential.
