**Position Summary**

Reporting directly to the CEO, the Executive Assistant to the CEO provides executive, administrative, and development support to the CEO and Board of Directors, as well as the executive team and HR. The Executive Assistant serves as the primary point of contact for internal and external stakeholders on all matters pertaining to the CEO. The Executive Assistant serves as a liaison to the Board of Directors and executive team; organises and coordinates executive outreach and external relations efforts; and oversees special projects.

**Essential/Primary Responsibilities**

**Executive Support** - Assists the CEO with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents and presentations for meetings.

Communicates with company staff on the CEO’s behalf and coordinates logistics for high-level meetings both internally and externally. Coordinates meetings and strategic activities with the executive team.

Communicates directly and on behalf of the CEO with Board members, investors and others on matters related to programmatic initiatives as directed.

Conducts research on prospective investors to identify and evaluate current needs and assembles materials needed for proposals and updates.

Drafts reports, letters of solicitation and prepares and coordinates oral and written communication with investors.

**Maintains the Investor Data Room** - Supports CEO in his external commitments to speaking events and his attendance at external boards, committees and other groups.

**Board Support and Liaison** - Serves as the CEO’s administrative liaison to the Board of Directors and manages Board activities, which include coordinating Board meetings; new Board member orientations; arranging hotel accommodations for out-of-town Board members if required; processing travel reimbursement requests; and compiling, assembling, and distributing Board meeting materials.

Coordinates Executive Team meetings prepare the agenda, captures detailed minutes and follows up on designated action items.

Coordinates other meetings, conferences, and committees both on and off-site to support the CEO’s agenda. Represents the CEO in designated meetings as required.

Maintains confidential files and contact information.

**Secondary Responsibilities**

**Performs other duties as assigned** - Provides assistance as needed to ‘front desk’ office operations including but not limited to, answering phone calls, accepting mail correspondence and other deliveries, lunchtime relief, and greeting and signing in visitors/guests.

**Accountabilities**

The position reports to the CEO and works directly with the Executive Team and the Board of Directors.

**Experience & Education**

Bachelor’s degree or equivalent experience and ideally interest and/or experience in fintech.

Strong organisational skills that reflect the ability to perform and prioritise multiple tasks seamlessly with excellent attention to detail.

Demonstrable experience providing support to upper management in a related organisation (i.e. a fintech startup/scaleup), ideally working with and supporting an entrepreneurial CEO.

**Skills & Abilities**
- Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members and external partners.
- Previous experience working with VCs and/or other types of investors and funding sources.
- Proficiency in office and administrative software, e.g. spreadsheets, word processors, presentations and task/project management software.
- Ability to learn new software.
- Ability to conduct research and present data in a succinct and well-written manner.
- Ability to work independently and with professional discretion.
- Excellent writing, editing, grammatical, organisational and research skills.
- Ability to work with a broad range of stakeholders including major investors, Board members, colleagues of the CEO and staff, and others.
- Knowledge of other languages and international customs is an asset; in particular knowledge of Dutch, Polish and/or French would be very helpful.
- Excellent prioritisation, time-management, and problem-solving skills.
**Working Conditions/Other Data**

This position is located in London, UK. Occasional travel may be involved.
