We have an exciting opportunity for an efficacious, dynamic and highly organised individual who wants to add real value in joining us as an Executive Assistant. We are looking for someone who is diligent and experienced in providing extensive C-Level support that will enable our CEO to continue delivering on the business objectives and build upon our ever-increasing growth and company-wide success. Working for an inspiring CEO, you will have real scope to become his right-hand person and work closely with senior stakeholders within the business, providing key executive support.

We are looking for a confident and commercially astute Executive Assistant who is comfortable being the face of itim on our CEO’s behalf and enthusiastic about undertaking a wide variety of responsibilities that will maximise our CEO’s output and expand his productivity, with a predominant focus on organising and managing his schedule.

This is a fantastic opportunity for a proactive, switched-on and intuitive EA to take ownership in providing comprehensive support to a busy CEO. This exciting role will be fast-paced and varied where no two days will be the same.

**What would be my main responsibilities**?**
- Provide high-level and comprehensive executive support to the CEO and any other member of the SLT where necessary, including planning, project management, secretarial and administrative support.
- To provide extensive calendar management and efficient coordination of meetings and other appointments on behalf of the CEO
- Manage, coordinate, and arrange the CEO’s travel and travel-related activities, including hotel booking, transportation, and meal coordination
- Be the key point of contact for the CEO, dealing with all enquiries and communicating, recognising, prioritising and tracking actions appropriately
- Capacity to anticipate and understand the CEO’s needs, priorities and goals
- Take authorised actions during the CEO’s absence and use initiative and judgement to see that matters requiring attention are handled in a manner to minimise the impact of the CEO’s absence.
Support in the preparation, organisation and carrying out of all activities surrounding PR
- Facilitating a continual open line of communication with a list of customers, advisors, influencers and other relevant important stakeholders
- Preparation of materials for all internal and external meetings, including necessary board packs.
- Coordinating with colleagues and internal stakeholders at all levels to ensure effective collaboration across the board
- Facilitate internal communication (e.g. effective distribution of information and schedule presentations)
Management and oversight of business projects
- Maintain professionalism and strict confidentiality with all materials, and exercise discretion when communicating with the business.
**What we’d like from you**
- Be an accomplished and tech-savvy EA, with proven experience of supporting C-Level Executives
- A minimum of 4 years experience in an administrative role reporting directly to upper management
- Experience of high-level inbox, calendar and project management in support of a CEO or equivalent
- Experience in cultivating relationships for the CEO/Executives with key stakeholders, customers, advisors and influencers
- Experience talking and engaging with high level, senior individuals confidently when representing the CEO on their behalf
- Proven experience organising and prioritising tasks efficiently and effectively, including both reactive and proactive requests from a range of colleagues and delivering to tight deadlines
- A proven ability to perform tasks under pressure and carry out exceptional decision making with a high level of attention to detail
- Proficiency in Microsoft O
