**Role Summary**:
To support the Group CEO and Group Finance Director, providing an excellent level of administrative support and facilitating the smooth running of the CEO’s office and Executive Leadership Team.
**Key Responsibilities**:
- Act as first point of contact for internal and external stakeholders, exercising judgment to determine when to escalate to other team members and other Virgin Group companies, filtering and delegating activities that could be handled by other teams.
- Managing and filtering communications on behalf of the CEO.
- Contribute to the effective teamwork, decision-making and constructive culture of the CEO’s office and Executive Leadership Team.
- Board Management - setting the various board meeting schedules annually, liaising with CEO and board members to set agendas, liaising with stakeholders to communicate timing for paper submission, collating board papers and distributing to the board in a timely manner, following up action items and seeing them through to completion.
- Managing the CEO and GFD’s diary, ensuring that their time is managed effectively and resolving competing demands.
- Complex travel arrangements including the planning of itineraries, arranging visas, booking flights and accommodation in line with budgets and travel policies, taking into consideration the sustainability credentials of service providers.
- Project support - collaborating with relevant teams to ensure key milestones are met, maintaining document management systems, project plans etc.
- Meeting and event support - sourcing appropriate venues, organising catering, identifying IT requirements, preparing travel itineraries, agendas and presentations and attending when required.
- Admin support including processing expenses and invoices in addition to some personal assistance.

- Exceptional communication and problem-solving skills
- Adept at managing complex travel arrangements on a day to day basis
- Commitment to achieving quality outcomes whilst being responsive and adaptable to change.
- Proactive approach, able to anticipate needs.
- Self-motivated and able to work to self-set deadlines but also able to work well as part of a team.
- Previous experience supporting senior executives in a high-profile organisation is highly desirable.
