We are looking for a dynamic, innovative and motivated person to join the Administrative support team for the Perinatal Mental Health Service

The Perinatal Community Service provides specialist support to women in the Leeds area who are experiencing significant mental health difficulties during pregnancy and in the fist year following a child’s birth. We also have an 8 bedded Mother and Baby Unit which provided an inpatient environment for mothers experiencing severe mental health difficulties who receive treatment and support while continuing to care for their baby.

We are looking for a committed, reliable administrator to join our secretarial team who will assist in supporting the clinical teams from an admin perspective.

We provide high a high quality support service which is integral to the success of the service, and we are looking for someone who feels they can enhance the admin provision already being provided.

You will be an experienced team player who has the skill, knowledge, and right attitude to assist in the delivery of high quality, accurate and timely support service. You will be self motivated and able to work effectively, in what can be at times a pressurised environment. You will have good net working skills. Be able to approach, discuss and advise the clinical teams surrounding the support you will provide.

You will be the first point of contact for patients and visitors accessing our service therefore someone with a confident helpful manner is required. You will provide support to the team when there are requests to report building/maintenance jobs therefore you will be a person who can accept and act on instructions. You will also be required to maintain data quality ensuring accurate patient information is recorded on the patient information system. You will be responsible for keeping up to date administrative supplies and also support other secretaries in the ordering and distribution of these.

Communication/Relationship Skills
- The job holder will have daily telephone and face to face contact with service users, visitors, staff and partner organisations e.g. soft Facilities Management Providers.
- The job holder will provide a customer focussed meet and greet service to all service users, carers and visitors.
- The job holder will be expected to have a positive attitude towards colleagues, service users and visitors at all times
- The job holder will be expected to promote and deliver best practice at all times.
- Attend meetings as required keeping themselves updated with service issues and developments.
- Information will be of a confidential and sensitive nature and will require handling in accordance with Trust Information Governance policy. The job holder will be required to meet NHS standards for confidentiality and information sharing.
- The job holder will take accurate messages and will provide a customer focussed reception service as required.
- To deal with telephone and personal enquiries from members of the public, GPs and other healthcare professionals. Provide non-clinical information and advice to patients and relatives within the boundaries of the role.
- Effective working relationships will be developed with the direct line manager, the Support Service team and clinical teams.
- The development of good networking skills will be essential for advice and direction.

Knowledge, training and experience

The key knowledge, skills and experiences needed to undertake the role are:
Knowledge
- Knowledge of general office duties (electronic and manual filing systems, photocopying etc.)
- Basic knowledge of office systems and processes
- Basic Working knowledge of Microsoft Office, in particular Microsoft Word, Outlook
- Knowledge of other MS Office software (Desirable).
- Understands the responsibilities of working with confidential information
- Basic knowledge of Mental Health Services (Desirable)
