Overview
We are seeking a highly organised and detail-oriented Office Administrator to join our team. The successful candidate will play a vital role in maintaining smooth office operations, providing administrative support, and ensuring effective communication across departments. This position offers an excellent opportunity for individuals with strong office experience and proficient computer skills to contribute to a professional and dynamic environment.
Duties
- Manage day-to-day administrative tasks including filing, data entry, and document management
- Handle incoming calls with professional phone etiquette and direct enquiries appropriately
- Organise schedules, appointments, and meetings to optimise office efficiency
- Prepare correspondence, reports, and presentations using Microsoft Office and Google Workspace
- Maintain accurate records using QuickBooks and other relevant software systems
- Assist with invoicing, billing, and financial record keeping
- Support team members with clerical tasks such as photocopying, scanning, and mailing
- Ensure the office environment remains tidy, organised, and well-stocked with supplies
- Coordinate communication between departments and external clients or vendors
- Maintain HR, health & safety, and payroll documentation (digital and physical)
- Raising purchase orders for suppliers
- Processing timesheets and assisting with payroll prep
- Keep accurate records and databases, ensuring confidentiality and GDPR compliance
- Assist with audits (ISO, HSE, etc)
Qualifications
- Proven office experience or administrative background
- Strong computer skills including proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Gmail, Drive, Calendar)
- Experience with QuickBooks or similar accounting software is desirable
- Excellent organisational skills with the ability to prioritise tasks effectively
- Good typing speed and data entry accuracy
- Demonstrated ability to communicate professionally via phone and email
- Clerical experience that highlights attention to detail and reliability
- Ability to work independently as well as part of a team
