Events Coordinator/Manager

Role Purpose:
Events are crucial part of Whisky Asset's identity and purpose. We are looking for a skilled individual who is able to provide a high-quality and consistent service, by selling the business to new prospects, gain traction by utilising social media, encouraging partnerships and collaborations in line with Whisky Assets core values, organisational polices and legal requirements.
The right candidate will be able to coordinate multiple moving parts while being under pressure and ensure that any last-minute changes and obstacles are managed with minimal disruption to the business.
The candidate will also be aiding in the development of Events Management procedures and practices within Whisky Asset. While ensure that over time as the business grows the job role will help aid the development of an Events Management Department.
Key Accountabilities:
· Liaise with the Sales, Management, Marketing and PR teams to publicise and promote events.
· Seek collaborations with outside parties on the behalf of Whisky Asset.
· Seek partnership opportunities for Whisky Asset with outside parties either in the UK or out with the UK.
· Arrange events on the behalf of the Sales Team within Glasgow.
· Arrange events on the behalf of the Sales Team within Scotland.
· Arrange events on the behalf of the Sales Team within the UK.
· Arrange events on the behalf of the Sales Time on an International Platform (i.e. Yacht Shows, International Grand Prix, Fashion Weeks etc.)
· Promote the business across multiple avenues (I.e. Industry Events)
· Support the Sales Team with expanding on their network by hosting and planning key events.
· Arrange Tasting Events on the behalf of our Sales Team and Clients within our Partnered HMRC Bonded Warehouse and within the Greater Glasgow Area
· Arrange Tasting Events on the behalf of our Sales Team and Clients within another suitable location if required.
· Seek new business prospects by using social media to gain traction.
· Manage all pre-event planning, organising guest speakers and delegate packs.
· Make sure that insurance, legal, health and safety obligations are being followed.
· Research opportunities for new business prospects and ideas.
· Produce post-event analysis and evaluation to improve future events.
· Oversee the set-up and shutdown of the event and clear the venue efficiently.
· Support the management team in developing policies procedures and practices in relation to Events Planning, and Events Management.
· Ensure internal and external clients are treated appropriately before, during and after Events.
· Handle Client enquires and answer all questions.
Qualifications Skills and Experience Requirements:
Educational/Occupational Essential
· Extensive experience within a relevant field, contributing to a high-performing sales and events team as a Junior Events Coordinator.
Education/Occupational Desirable
· An undergraduate degree in a Business-related discipline.
· An undergraduate degree in an Events Management related discipline.
· Extensive previous experience as a Senior Events Coordinator or Events Manager.
· Previous experience within the Whisky Industry would be a positive
Personal Qualities Essential
· Ability to work autonomously within parameters defined by line management.
· Effective communication, influencing and negotiating skills in respect to routine Events matters.
· Knowledge and understanding of expert marketing strategies, policies, and good practice.
· Highly organised, accurate and attentive to details.
· Ability to interpret, manipulate and analyse data to inform business proposals, performance, and impact by providing insight/reports as required.
· Flexibility to balance and deliver multiple, often conflicting priorities under pressure.
· Ability to problem solve, advise, and guide colleagues/customers within relevant field and allocated remit.
· Inclusive and initiative-taking team member.
Special Aptitudes Essential
· Highly proficient in the Microsoft 365 Package (excel, word, PowerPoint etc).
· Highly proficient in marketing software. (Knowledge in HubSpot would be an advantage).
Job Type: Full-time
Pay: £30,000.00-£40,000.00 per year
