The Office Administrator will be primarily responsible for ensuring all organizational documentation and related processes adhere to applicable laws, regulations, and internal policies. This role involves general administrative support, document management, and assisting with audits (such as REFCOM, Constructionline and CHAS).
Office Operations Management
Oversee and coordinate daily office activities and operations to ensure efficiency and compliance with company policies.
Assist with the development of the new website and manage LinkedIn updates.
Manage the reception area, greet visitors and directing inquiries to the appropriate personnel.
Monitor and maintain inventory of office supplies and equipment, and PPE for site-based engineers, placing orders and liaising with vendors as necessary. Ensure office equipment (printers, scanners, etc.) is in working order and coordinate repairs or maintenance as needed.
Manage hotel bookings for engineers and staff and associated events and conferences where relevant, together with other travel arrangements.
Documentation and Data Management
Maintain digitally and/or physically as appropriate human resources, health and safety and payroll related documents.
Maintain and update accurate records and databases (both physical and digital) with personnel, financial, and other essential data.
Ensure the confidentiality and security of all files and records, adhering to data protection regulations (e.g., GDPR).
Financial and Human Resources Support
Assist with basic financial procedures, particularly tracking expenses for engineers and staff staying away overnight and at conferences.
Support Human Resources functions, including assisting with new employee onboarding, maintaining employee records, particularly the training matrix, and booking training as necessary.
Key Skills, Qualifications and Experience
Skills
A successful administrator will require a combination of hard technical and soft skills.
Technical Proficiency: Intermediate knowledge of the Microsoft 365 Suite (Word, Excel, Outlook, Teams and PowerPoint) and experience with office management, CRM, or database software.
Organisational Skills: Excellent time management, attention to detail, and the ability to prioritise workloads effectively.
Communication: Excellent written and verbal communication skills, a professional telephone manner, and amenable interpersonal abilities.
Problem-Solving: A proactive and resourceful approach to resolving day-to-day issues and unexpected problems.
Confidentiality: The role is situated within finance at its core, and so the ability to handle sensitive information with discretion and professionalism is very important.
Qualifications
The role is extremely wide-ranging. It is essential that the incumbent is fluent with modern IT.
Providing a suitable list of qualifications is neither appropriate nor relevant, since it is recognised that experience is equally, possibly more important.
A candidate must display solid levels of numeracy and literacy in English.
Remuneration Package
Salary: Competitive salary based on experience
Salary payment date: Received into bank accounts on the last Friday of the month.
Probation period: 3 months
Holiday entitlement: 25 days per annum plus 8 Bank Holidays.
Holiday year: Calendar year (1 January to 31 December)
Pension: Enrolment in our Company Pension scheme provided by Aegon. Employer contribution of 3%, and an employee contribution of 5%, of qualifying earnings.
Private Health Care: At the renewal date (1 April 2026), and following successful completion of your probation period, you will be eligible to join the company's Vitality Health Scheme.
EAP Scheme: As above
Training: The renewal of any relevant certificates, or additional relevant qualifications, will be paid for by the company. This will form part of a wider personal development plan, and the employee will be a major participant in the drafting process.
