Fleet Coordinator

Overview
Sherwood T Group provides specialist SEN school transport across London. The Fleet Coordinator keeps the fleet safe, compliant and ready for daily routes. You'll support drivers, manage maintenance and make sure every vehicle meets the standards needed for SEN transport.
Key Responsibilities
- Keep every vehicle road-legal, fully compliant and consistently PCO licensed
- Track MOT, servicing, inspections, repairs, insurance and all fleet documentation
- Prioritise urgent repairs based on business needs
- Arrange replacement vehicles when issues arise and minimise downtime
- Carry out regular condition checks and ensure drivers complete their daily inspections
- Check vehicles during handover and return, recording the condition each time
- Make sure drivers have everything they need to complete their runs safely and compliantly, including ID cards, booster seats, harnesses, covers and any route-specific requirements
- Keep accurate digital logs of defects, repairs, mileage and vehicle condition
- Track fuel usage and maintain fuel card or receipt records
- Ensure all GPS devices are logged, working and monitored
- Manage and track any parking or traffic tickets for company vehicles
- Prepare regular reports showing the running cost and performance of each vehicle
- Liaise with garages, insurers and suppliers
- Support driver allocation when vehicles are off-road
- Keep vehicles equipped for SEN transport at all times
- Assist with driver documentation where it relates to vehicle compliance
Skills and Experience
- Experience in fleet, transport or logistics is helpful
- Strong organisational skills and good attention to detail
- Calm, practical problem-solver
- Understanding of vehicle compliance and maintenance cycles
- Confident with spreadsheets or fleet software
- Clear communicator with drivers, garages and management
- Full UK driving licence required
