Job Summary This full‑time vacancy (37.5 hours a week) is based within the Medical Electronics Department of the Estates & Facilities Division. Working alongside Medical Engineering Technicians you will provide administrative, clerical, receptionist and basic technical support to ensure the smooth operation of the department. Key Responsibilities Support a multi‑disciplinary team by providing administrative and clerical assistance. Deliver general receptionist duties, including filing, typing letters and performing related clerical tasks. Input data accurately into computer systems, including word tables and Excel databases such as Medusa, and manage the commissioning of new assets. Raise, close and update jobs following Standard Operating Procedures and Instructions. Receive goods, verify contents against purchase orders, label spare parts and store them in the correct locations. Receive equipment for repair or service, clean, process and prepare it for maintenance, and seek advice from engineers when necessary. Monitor stock levels of spare parts and stationery, placing orders and replenishing inventory as needed. Unbox and assemble basic medical equipment under the guidance of an EBME engineer, using hand tools such as screwdrivers and spanners. Conduct basic function and calibration checks on a small range of medical devices in accordance with departmental policies. Operate the helpdesk for wards and departments, attach service reports, and raise requisitions via the Procurements Oracle and NHS Supply Chain systems. Collect, decontaminate and prepare medical equipment for courier dispatch, coordinate supplier pickups, receive courier deliveries and deliver equipment to the user department, and record all entries in the medical equipment database. Communicate with clinical users to clarify problems with equipment, assess severity, and respond appropriately under senior staff guidance. Extract information from the equipment management database in response to requests from clinical staff or department management. Liaise with manufacturers to obtain spares availability information and track returns of refurbished equipment. Maintain responsibility for documents, tools and equipment, ensuring workshop facilities remain clear, orderly and that all equipment is kept to acceptable standards. Clean and decontaminate equipment following WWL policy, observing infection control measures in restricted clinical areas. Research spare parts using telephone, internet and e‑mail to support the repair of medical equipment. Essential Qualifications Educated to GCSE level. RSA I / II or equivalent. Computer literate with practical knowledge of Microsoft Office. Excellent communication skills and the ability to handle confidential information sensitively. Strong time‑management, organisational and telephone‑manner skills. Speak English to an appropriate standard for the role. Knowledge of financial procedures/protocols and record‑keeping systems. Desirable Qualifications European Computer Driving Licence or ongoing work toward it. Experience within an Estates and Facilities or healthcare environment. Experience with databases and spreadsheets. Experience in minute‑taking, drafting memos and letters. Knowledge of HR policies and procedures and previous NHS experience. Person Specification Shine in an administrative or secretarial capacity, working with both healthcare professionals and engineers. Ability to prioritise work to meet tight deadlines while maintaining a flexible and adaptable approach. Attention to detail, precision and a keen sense of recordkeeping.
