Business Support Administrator Location: Malton Hours: Part time, 20 hours per week (hours arranged to suit both the team and the successful candidate) Job Purpose: To provide proactive administrative and project support that ensures the Fellstone Team operates efficiently and professionally. To coordinate diaries, documentation, and project activities; maintain effective systems and templates; and contribute to the development, presentation, and smooth running of the business. Key Responsibilities Administrative Support Manage and coordinate diaries for the Fellstone Team. Maintain and update the team’s Planner/Task lists. Assist with expense tracking, invoice processing, and basic financial administration. Support the preparation and follow-up of client contracts and agreements. Maintain effective electronic and physical filing systems. Order and manage office supplies and subscriptions. Monitor procurement portals and highlight relevant opportunities. Update and maintain company case studies. Support the preparation of quotes and tenders, focusing on presentation, templates, and branding consistency. Develop and maintain the CRM database. Review existing templates, transferring them to new branding formats and improving where appropriate. Upload and schedule social media content and assist in developing a social media strategy. Manage room and hot desk bookings (as applicable). Project Support Administer project meetings, including scheduling, preparing agendas, circulating papers, and recording minutes. Coordinate monthly project reports, collating input from team members, formatting reports, and distributing final versions. Update project directories, risk registers, and change control logs. Provide administrative support for ad hoc meetings and project activities. Assist in maintaining project documentation and ensure version control. Develop an understanding of project management principles and practices relevant to the consultancy’s sectors. N.B. The role may include other reasonable tasks or responsibilities that support the smooth running of the business. Person Specification Qualifications & Training Educated to GCSE or equivalent (Degree or relevant vocational qualification desirable). Educated to Level 2 in Business Administration, or with equivalent relevant experience. Evidence of professional development or training in administration, project support, or business management (desirable). Willingness to undertake further training and development as required. Experience Proven administrative or project support experience in a professional environment. Experience managing diaries, scheduling, and coordinating meetings. Experience using MS Office 365 (including Teams, Planner, Excel, Word, and SharePoint). Experience with CRM systems and document management. Experience supporting social media content or website updates (desirable). Familiarity with consultancy, construction, heritage, or project management sectors (advantageous). Knowledge & Skills High proficiency in Microsoft Office applications. Strong organisational and time-management skills. Ability to produce accurate documents and reports to a professional standard. Strong written and verbal communication skills. Familiarity with Adobe and SharePoint. Basic understanding of accounting software such as Xero. Confidence in managing processes and maintaining accurate records. Ability to multi-task and prioritise effectively in a fast-paced environment.
