What you will be doing
The role provides crucial support for three key areas of Facilities and Property Management. The first is the management and delivery of a robust document control and management system.
A second key aspect of the role is providing administrative support to the Facilities and Property Manager. Additionally, the role includes some Front of House (FOH) responsibilities at our Head Office reception.
* To work collaboratively with all parties within the Facilities and Property department and related compliance functions to regularly maintain a fully operational document management system that controls all documentation within Facilities whether inbound from internal customers or external suppliers and parties. This support is critical in maintaining our accreditations and ensures that all Facilities documentation meets Legal & Regulatory compliance as well as Ricoh standards.
* With support from the Senior Facilities Operations Specialist to maintain schedules for inspections, maintenance visits and compliance on the Pre-Planned Maintenance schedule to ensure no compliance-related or legislative documentation expires.
* To coordinate & provide admin support for all Facilities audits (internal and external) which ensure that Ricoh remain compliant with statutory requirements.
* To administratively support the Facilities and Property Manager with Property related activity to ensure that all property-related information is up to date, and overseeing the timely processing and payment of rent, service charges, insurances, and business rates.
* To cover Front of House and Reception duties as and when required, to ensure continuity of switchboard management, processing post, welcoming customers, and other general FOH duties
