Job Title: Property Management Administrator

We are seeking a highly organized and detail-oriented Property Management Administrator to join our team at Bidwells. This role will provide administrative support to our Property Management team, ensuring the smooth operation of our residential lettings department.

Key Responsibilities:
  • Assist the Property Management team with administrative tasks, including data entry, filing, and photocopying.
  • Provide excellent customer service to clients and colleagues, responding to phone calls, emails, and visitor inquiries in a professional and courteous manner.
  • Manage incoming and outgoing correspondence, including emails, letters, and packages, ensuring timely and efficient processing.
  • Maintain accurate and up-to-date records, including property files, tenant information, and maintenance schedules.
  • Coordinate with utility companies and councils for tenancy changeovers, ensuring seamless transitions for our clients.
  • Prepare and issue documents, including contracts, invoices, and statements, using our CRM system.
  • Chase outstanding works with contractors and follow up with parties for invoices and bills.
  • Arrange quotations for maintenance and refurbishment of properties, working closely with Property Managers to ensure scope of work is met.
  • Register appliance warranties and book call-outs under warranty.
  • Update and maintain key control systems and sign out keys to third parties.
  • Attend team meetings and take minutes, ensuring accurate records of discussions and actions.
Requirements:
  • Previous experience in an administrative role, preferably in a property or lettings environment.
  • Excellent communication and organizational skills, with the ability to multitask and prioritize tasks effectively.
  • Proficiency in Microsoft Office and ability to adapt to new tools and software.
  • Previous experience with property software, such as Reapit, is desirable.
  • Strong attention to detail and ability to maintain accurate records.
  • Positive attitude and courteous demeanor, with excellent customer service skills.
