About The Role

As a key member of our in-house transportation operations team, we are seeking a skilled Logistics Specialist to support our domestic and international projects. Your primary responsibility will be to ensure products and consumables are transported locally and globally in compliance with all relevant import and export laws and regulations, while minimizing costs and maximizing efficiency.

Key Responsibilities

  • Manage and liaise with courier and logistics companies to optimize delivery routes and schedules.
  • Schedule deliveries on behalf of project managers for UK and international projects, ensuring timely and cost-effective transportation.
  • Prepare supporting documentation, including sales invoices and shipping invoices, to facilitate smooth delivery processes.
  • Track shipments and update relevant teams on progress, ensuring seamless communication and coordination.
  • Calculate duty and VAT costs for each consignment, ensuring accurate and compliant financial transactions.
  • Process import and export declarations, adhering to regulatory requirements and company policies.
  • Deal with general enquiries from importers and exporters regarding customs procedures, tariff classifications, duty rates, and documentation requirements.
  • Raise orders and authorize orders up to published authority limits, ensuring financial control and compliance.
  • Log and monitor courier purchase logs for logistics, maintaining accurate records and optimizing procurement processes.
  • Manage insurance claims for delivery shortfalls and product damage, resolving issues promptly and fairly.
  • Resolve delivery and collection discrepancies with suppliers and internal teams, ensuring prompt resolution and minimal disruption.
  • Administer in-house documentation and processes, maintaining accurate records and ensuring compliance with company policies.
  • Liaise and coordinate with internal and external stakeholders, including project managers, stock returns teams, and finance departments, to ensure seamless communication and collaboration.
  • Stay up-to-date with changes in regulations, laws, and customs procedures, ensuring ongoing compliance and best practices.

    • Excellent organizational skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
    • Strong communication and interpersonal skills, with the ability to effectively interact with people at all levels.
    • Proficiency in Microsoft Office, particularly Excel, to analyze data and optimize logistics processes.
    • A positive and enthusiastic approach to delivering results, with a strong commitment to customer satisfaction.
    • Experience in a similar role, with exposure to international duties, customs, taxes, and regulations.
    • Ability to work well within a team, with a strong focus on collaboration and communication.
    • Self-management, communication, planning, and organizing skills, with the ability to adapt to changing priorities and deadlines.
    • Familiarity with Microsoft CRM and/or SAP, with the ability to leverage technology to optimize logistics processes.
    • Ability to manage multiple tasks and progress priorities, with a strong focus on time management and productivity.
    • Excellent communication skills, with the ability to effectively communicate via email and telephone.
