Administrative Support Specialist

Galaxy Personnel is seeking a highly skilled Administrative Support Specialist to join their team. This is a fantastic opportunity to work as part of a dynamic team and develop your skills in a fast-paced environment.

About the Job

The successful candidate will work on a variety of tasks including holiday and sickness records management, adding new MECH BOMs to Sage 200 system and reallocating Bills Of Materials when changes are made.

Main Responsibilities:
  1. Holiday and sickness records management
  2. Add new MECH BOMs to Sage 200 system
  3. Reallocate Bills Of Materials when changes are made
  4. Sage contact for all employees in the UK
  5. Weekly check of sales orders and Purchase Orders still open
  6. Service visits: all enquiries, quoting and invoicing
  7. Share telephone duties within staff members
  8. Record machine orders and issue job codes
  9. Create sales orders for machine orders and issue deposit invoices for machine orders
  10. Complete machine orders and create shipping documents
  11. Liaison for all machine shipments
  12. Book shipping for machines
  13. Credit control: chasing payment from customers
  14. Create quotes, sales orders and purchase orders for spares
  15. Obtain weights and country of origin for spare parts
  16. Pack spare parts and arrange shipment of spares
  17. Investigate any other customer requests
  18. Create import documents for shipments from various offices
  19. Complete import declarations for customs
  20. Manage and assist other members of staff
Requirements:
  • Own transport and UK driving licence
