Job Summary:

We are seeking a highly organized and detail-oriented Order Management Administrator to join our team at People First. As an Order Management Administrator, you will play a critical role in ensuring the efficient and accurate processing of client repairs.

Key Responsibilities:

  • Repair Registration:
    • Client account and product identification
    • Recording of product condition (aesthetic defects)
    • Recording of client requests
  • Repair Cost Estimate Creation:
    • Knowledge of product catalogs and brand policies
    • Knowledge of spare parts (identification, availability, and pricing)
    • Performing spare parts availability checks
    • Defining services and pricing repairs
    • Estimating repair lead times
    • Sending cost estimates to clients
  • Final Control / Invoicing:
    • Ensuring accurate and efficient invoicing
    • Performing final aesthetics checks on products
    • Preparing client documents using precise invoicing codes and comments
  • Post Opening:
    • Opening parcels and handling client products safely
  • Maintenance of the Work Environment:
    • Daily setup of administration areas
    • Alerting management to stationery orders
  • Development of the UK After-Sales Service:
    • Proposing improvements to day-to-day procedures
    • Participating in team and quality meetings
    • Monitoring, processing, and responding to emails and queries

Requirements:

  • Experience with order administration
  • Accurate, efficient, and organized
  • Numerate
  • Excellent attention to detail
  • Excellent communication and writing skills
  • Good time management skills
  • Customer-focused
  • Strong IT skills and ability to learn different systems
  • SAP knowledge a plus
  • Ability to perform light physical work
