We are seeking a highly skilled Operational Support Specialist to join our Edinburgh office.

About the Role

This is a fantastic opportunity for an experienced operations coordinator to provide administrative support to the Edinburgh Office Head and teams. The successful candidate will be responsible for coordinating daily operations, processes, and efficiencies.

Key Responsibilities
  • Maintain the Office Head's schedule through proactive diary management and email coordination;
  • Organise internal and external meetings, viewings, and conference calls, preparing necessary papers beforehand;
  • Coordinate Board Meetings and team Strategy Away Days, preparing relevant meeting packs;
  • Manage presentations with in-house creative and business development teams, external printers, and post room staff to ensure smooth processes;
  • Prepare and format reports, letters, memos, minutes, schedules, mailshots, and extensive documents;
  • Arrange corporate travel, creating detailed itineraries and travel packs as needed;
  • Attend team WIP meetings, take minutes, and follow up on actions;
  • Ensure all team members complete mandatory training and promote personal development opportunities;
  • Compose correspondence, audio typing letters, memos, design documents, and newsletters;
  • Answer organisational mail, including emails, correspondence, and requests for information;
  • Maintain team schedules, coordinate internal and external meetings, book rooms, and set up conference calls.
Requirements
  • At least 3 years' experience in an operations or administrative role;
  • Proficient in Microsoft Office;
  • Excellent English grammar and spelling skills;

The salary for this role is estimated to be around £35,000 - £45,000 per annum, depending on experience, and is based on industry standards for a similar position in Edinburgh.
