Support Coordinator

A highly organized and detail-oriented Support Coordinator is required to manage the diary and organization of the UK & Ireland Managing Director and President – International. This role will involve tight control over their calendar, ensuring no meeting conflicts, timely processing of expenses, and coordination of travel. The successful candidate will provide project support as required by the UK & Ireland Managing Director and President – International and the wider UK Management Team.
Key Responsibilities
- Support the UK & Ireland Managing Director and President – International in delivering the UK&I's overall objectives, being aware of these when prioritising tasks.
- Principally, support the UK & Ireland Managing Director and President – International with regards to their diary, booking meetings, distributing agendas, and preparing travel itineraries.
- Assist the UK & Ireland Managing Director and President – International with their expenses, including purchase orders and vendor maintenance – ensuring timely payment through the existing process.
- Provide project administration support as and when required by the UK & Ireland Managing Director and President – International and the wider UK Management Team.
- Attend monthly and quarterly management meetings as required to take down actions/outstanding issues and circulate to stakeholders.
- Follow up on action points from meetings on behalf of the UK & Ireland Managing Director and President – International.
- Draft internal and external correspondence as well as proof-read before communicating on behalf of the UK & Ireland Managing Director and President – International.
- Event management of annual company events as required by the UK Management Team, including venue sourcing, arranging payments, agenda setting, and on-site support.
- Oversight of office/facilities management for the UK Head Office in Richmond, including reception desk cover when required.
- Act as secretary to the National Customer User Group, attending and minuting quarterly meetings.
- Other ad hoc duties as required to assist the UK & Ireland Managing Director and President – International and UK Management Team.
Requirements
- PA or secretarial experience in a busy office environment.
- Experience with diary management and arranging travel.
- Experience in managing and coordinating events from start to finish.
- IT Literate, with a working knowledge of Microsoft Office and a high level of experience using Outlook.
- Efficiency, good organizing, time management, planning, and prioritization skills.
- Good interpersonal and communication skills, with the ability to communicate effectively at all levels.
- Must genuinely enjoy working as part of a team.
- Strong attention to detail.
