The Role
The Logistics Coordinator and Account Receivable Support will report directly to the Finance Manager UK. This role will oversee the logistics departments, manage operations, warehousing, inventory, and supply chain from Italy to the UK. The candidate will work closely with the accounting team for account receivables tasks.
Main Activities:
Logistics/Operation
- Monitor shipments of goods from Italy to the UK.
- Perform goods receipts into the system (Navision) and post intercompany invoices, ensuring invoices match purchase orders.
- Liaise with external logistic partners, providing information about goods coming into the UK from Italy.
- Monitor direct shipments from Italy to customer warehouses, collecting proof of delivery from logistic partners.
- Monitor delivery and installation to final clients on a daily basis.
- Manage customs documents for export and/or returns to Italy, liaising with external partners.
- Enter purchase orders into the system, when necessary, and provide support to the sales team in case of issues.
- Support monitoring inventories in warehouses and showrooms, and assist the sales team in entering goods' transfer orders into the system.
- Organize and manage periodic stock takes in all locations, ensuring physical counts match virtual locations in the system.
- Monitor and evaluate local UK logistic suppliers, directly managing operations with these suppliers.
- Plan, organize, and execute logistics and supply chain processes for showrooms.
- Provide costs and logistic/storage analysis.
- Review weekly and monthly invoices received by suppliers, with details by single delivery.
- Organize calls with clients to schedule deliveries, if needed.
- Maintain record-keeping track of daily deliveries to customers.
- Ensure all shipped orders are billed, raising sales invoices and credit notes where necessary.
- Provide support to the sales team, ensuring sales orders are always aligned to purchase orders to the factory.
- Support the Finance Manager in sales forecast estimates (monthly basis).
- Bachelor's Degree in Logistics or equivalent fields.
- At least 3/4 years of Operations and Accounting experience.
- Proficient in Microsoft Office suite, with good knowledge of Excel mandatory.
- Good English knowledge is mandatory, with knowledge of Italian an advantage.
- Able to work independently and perform at a high level of accuracy.
- Flexible to adapt to evolving scope of duties.
- A self-starter, adaptable person with problem-solving mentality.
- Confidence to ask questions and/or seek solutions when required.
- Desire of ongoing learning.
- Excellent organizational skills.
