Job Title: Office Manager

We are seeking an experienced Office Manager to join our team at Right at Home. As an Office Manager, you will be responsible for managing the administration function of our office, including handling incoming enquiries, recruitment and orientation of carers, scheduling care and monitoring operational performance.

Key Responsibilities:
  1. Manage the day-to-day administration of the office, including handling incoming telephone and internet enquiries.
  2. Recruit and orient new carers, ensuring they are properly trained and equipped to provide high-quality care.
  3. Schedule care services using VisualCare, and recover information on clients and carers for input into the system.
  4. Provide client and family education on the nature of services available and the effect and benefit of the care plan.
  5. Arrange initial client appointments for the Care Management staff.
Administrative Functions:
  1. Implement and maintain all relevant operating systems, including VisualCare, VisualCare CRM, policies and procedures, and service conditions for carers, nurses, and other care professionals.
  2. Implement and maintain computer systems and office equipment.
  3. Implement and maintain telephone and communications systems.
  4. Organise the office layout and arrangements, including equipment, stationery, cleaning, catering, and staff amenities.
  5. Ensure client enquiries are handled in a professional and effective manner, supporting the care management team with selling services to families.
  6. Assist with managing the recruitment and orientation of the Care Team.
  7. Serve as a liaison with the accounts department, ensuring proper billing in line with the care plan.
  8. Assist management with business development opportunities across a range of referral sources.
Documentation:
  1. Ensure all documentation is accurately and comprehensively completed 'as you go' in Right at Home databases and software programs, in accordance with organisation policies and procedures and legislative frameworks.
  2. Maintain contemporaneous records and documentation in accordance with quality standards frameworks and organisational policies and procedures.
Leadership:
  1. Participate and contribute to the planning processes, policy and procedure development relating to area of responsibility.
Culture:
  1. Promote and develop a culture of thought leadership and teamwork that reflects the values and care principles of Right at Home, ensuring all staff feel valued and important contributors to the team.

Requirements:
  1. Appropriate qualifications and experience as an office manager.
  2. Driver's License and comprehensively insured dependable private vehicle.
  3. Demonstrated ability to communicate effectively with Clients/significant others and members of the Care Team.
