Job Description:

We are seeking a highly skilled and experienced Executive Support Officer to join our global retailer as the PA to the Group CIO and Head of Technology Innovation. This is an exciting opportunity for a talented individual to make a real impact in a fast-paced and dynamic environment.

The successful candidate will have previous experience supporting senior executives, with a proven track record of managing complex diaries, emails, and meetings. They will be confident in their ability to work under pressure, prioritise tasks, and maintain confidentiality at all times.

Duties:

  • Proactively manage email inboxes, diaries, and meetings, including arranging and scheduling appointments, coordinating dates, times, and locations for meetings.
  • Set up meetings with CIOs across the business, attend meetings, prepare agendas, take minutes, and chase actions from meetings.
  • Draft communications on behalf of the CIO and Head of Technology Innovation.
  • Organise video conferences, room bookings, catering, and dial-ins.
  • Arrange multi-destination international travel itineraries, including booking tickets, hotels, transport, and keeping on top of changes.
  • Manage visas or medical arrangements and currency requirements.
  • Filter calls and requests and manage them according to the priorities of the Group CIO and Head of Technology Innovation and the business.
  • Ensure all correspondence and relevant materials required by the Group CIO and Head of Technology Innovation are produced in a timely and accurate manner – includes PowerPoint, documentation, briefs, presentations, formatting documents.
  • Assist with researching, manipulating data, and editing presentations, including preparing weekly meeting presentations when required.
  • Liaise with relevant departments, particularly HR and IT, in respect of new joiners.
  • Establish and manage the invoice and expense process for the Group CIO and Head of Technology Innovation, including invoice payment, corporate card bills, personal expenses, and phone bills.
  • Coordinate events for various department conferences both UK and internationally.

Requirements:

  • Prior experience as a PA to senior executives.
  • Excellent organisational and planning skills with the ability to manage multiple tasks to tight deadlines.
  • Able to work effectively under pressure and adapt to changing priorities.
  • Excellent communication and interpersonal skills, with the ability to build strong relationships with senior individuals.
  • Proficient in Microsoft Office, with the ability to learn new software systems quickly.

What We Offer:

A competitive salary of £55,000 - £57,500 per annum, depending on experience, and a range of benefits, including a generous pension scheme, life insurance, and access to ongoing training and development opportunities.
