We are seeking a highly organized and detail-oriented Team Administrator to join our team in our Bristol office on a part-time basis. As a key member of our team, you will provide administrative support to our engineers, consultants, and directors, ensuring the smooth operation of our projects and financial administration.
Key Responsibilities- Provide administrative support from fee proposal stage to project completion, including onboarding new projects and ensuring correct documentation is received.
- Update forecasts, billing schedules, WIP, and other balances in our ERP system.
- Raise applications for payment, invoices, and credit notes.
- Act as a liaison point between teams, dealing with queried debtors and resolving credit control issues.
- Assist in the production of Purchase Orders and liaise with suppliers and subcontractors/affiliates.
- Contract administration, data management, and archiving in line with company policies and QA procedures.
- Support the Divisional Financial Controller with monthly management accounts, financial reporting, and analysis.
- Promptly respond to incoming calls, answer queries, and redirect calls to members of staff.
- Effective communication skills, both written and verbal, to staff at all levels and external organizations.
- Accurate administrative skills and strong organizational skills.
- Ability to prioritize tasks and meet deadlines.
- Proficiency in Microsoft Office and other associated software.
- A dynamic and positive approach to work, comfortable multi-tasking under pressure.
- Some working knowledge of reviewing legal documents is advantageous.
- Administrative experience in the construction or consultancy industry is advantageous.
