We are seeking a highly skilled and organized Team Administrator to join our team in Bristol. As a key member of our administration team, you will provide project and financial administration support to a team of Engineers, Consultants, and Directors.

Key Responsibilities:

  • Provide administrative support from fee proposal stage to project completion for various projects and clients.
  • Onboard new projects, liaising with clients to ensure correct documentation is received and projects are set up correctly.
  • Update forecasts, billing schedules, WIP, and other balances in our ERP (Rapport).
  • Raise applications for payment, invoices, and credit notes.
  • Act as a liaison point between other teams within Hydrock, dealing with queried debtors and resolving credit control issues.
  • Assist in the production of Purchase Orders and liaise with suppliers and Sub-contractors/Affiliates.
  • Contract administration, data management, and archiving in line with company policies and QA procedures.
  • Support the Divisional Financial Controller with monthly management accounts, financial reporting, and analysis.
  • Promptly respond to incoming calls, answering queries, and redirecting calls to members of staff, ad-hoc reception cover.

Requirements:

  • Ability to communicate effectively in oral and written forms to staff at all levels within the company and with external organizations, maintaining confidentiality of information.
  • Accurate administrative skills and strong organizational skills.
  • Ability to prioritize and meet deadlines.
  • Fully competent in the use of Microsoft Office and other associated software (training given).
  • A dynamic and positive approach to work and comfortable multi-tasking under pressure.
  • Some working knowledge of reviewing legal documents would be advantageous.
  • Administrative experience gained within either the construction or consultancy industry would be advantageous.
  • Friendly, sensible, and well-mannered with a good sense of humor.
