Housing Department Administrator

As a dedicated Legal Secretary, you will play a crucial role in ensuring the smooth operation of our housing department at Hays Business Support. Located in the heart of Newcastle city centre, this position requires an organised and detail-oriented individual with excellent communication skills and proficiency in legal documentation.
The ideal candidate will have advanced proficiency in Microsoft Office Suite and experience with Searches, Land Registry, and Stamp Duty Land Tax interfaces. A strong understanding of document management systems is also essential.
In this dynamic role, you will work closely with partners and fee earners to prepare incoming and outgoing correspondence, manage diaries, and notify clients about changes in workload priorities. You will also be responsible for drafting, amending, and finalising legal documents and reports as directed.
Key Responsibilities:
- Organise and prioritise workloads in collaboration with fee earners
- Manage fee earner's diary and be aware of their daily commitments
- Prepare incoming and outgoing correspondence
- Notify and coordinate with fee earners about any changes in workload priorities
- Opening and closing files, ensuring compliance with money laundering documentation and firm policies
- Liaise with clients and take instructions under the supervision of fee earners
- Preparing, submitting, and downloading property searches
- Drafting, amending, and finalising legal documents and reports as directed
- Preparing and collating engrossments for execution and completion
- Submitting Stamp Duty Land Tax forms via the SDLT website
- Interfacing with the Land Registry
- Assisting with the preparation of monthly bills
- E-filing all documents and correspondence
- Using precedents to draft documents as directed
- Coordinating with the Housing Department Administrator for room bookings, accommodation, and travel arrangements
- Setting out-of-office greetings and managing email messages when fee earners are unavailable
