About the Role

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at Ada, National College for Digital Skills. As a key member of our HR and Finance department, you will provide front-line administrative and transactional systems support to our People and Finance teams.

Key Responsibilities
  • HR Support:
    • Work with the HR Manager to draft job adverts, ensuring they are well-written and engaging.
    • Obtain quotes for advertising on various job boards and recruitment media channels.
    • Support the HR Manager with onboarding and offboarding processes, including consultants, mentors, volunteers, and governors.
    • Manage the recruitment inbox, responding to candidate and hiring manager queries.
    • Work with the HR Manager to manage the HR inbox, responding to staff enquiries.
    • Be the main point of contact for all HR system queries and action first-level system transactions.
    • Maintain spreadsheets and trackers to ensure all relevant HR information is collected and collated.
    • Support with updating the Single Central Record for all staff, volunteers, consultants, agency workers, and governors.
  • Finance Support:
    • Support the Assistant Finance Manager in updating the Purchase Ledger, ensuring purchase requisitions are received and processed in a timely manner.
    • Ensure all expenditure is recorded against the relevant nominal code and cost account, and the correct VAT code is used.
    • Support the Assistant Finance Manager in updating the Sales ledger, ensuring all income is recorded against the relevant nominal code and cost account, and the correct VAT code is used.
    • Ensure the disbursement of funds, keeping records of those disbursements, and requesting replenishment of the fund is done according to the Petty Cash Policy.
    • Reconcile business petty cash transactions on a bi-weekly basis in the Xero finance system.
  • Other Finance Duties:
    • Support the Assistant Finance Manager in preparing pay runs.
    • Monitor the finance account inbox and deal with staff, students, and supplier queries.
    • Support staff in following financial policies and procedures.
    • Support the Finance team in setting up a Fixed Asset Register and maintaining it on a regular basis.
Requirements
  • Previous Officer/Administrator experience, ideally in a Human Resources field.
  • Ability to undertake administrative tasks and develop effective office systems and procedures.
  • Ability to use information technology for word processing, spreadsheets, and databases, with excellent typing skills.
  • Ability to pick up new applications and software quickly.
  • Passion for working with young people and adults to help improve their life chances.
  • Suitability to work with young people and vulnerable adults, in accordance with Government guidelines for safeguarding.
