We are seeking a highly organized and detail-oriented Administration Assistant to join our Operations Team at Ready2Recruit Ltd. This is a permanent, office-based role, Monday to Friday.

The Role:

  • Perform a range of administrative tasks, including data entry, filing, and document management, to ensure seamless office operations.
  • Assist in maintaining organized office procedures and protocols.
  • Handle sensitive data in accordance with relevant legislation and company policies.
  • Provide exceptional customer service by responding promptly and professionally to inquiries via email and phone.
  • Resolve customer issues and concerns efficiently, ensuring high levels of customer satisfaction.
  • Offer accurate information about products, services, and company policies to customers and colleagues.
  • Collaborate with other departments to address customer needs and concerns effectively.
  • Email and Communication Management:
  • Monitor and manage email inboxes, ensuring timely responses and resolution of customer queries.
  • Categorize and prioritize emails, directing them to the appropriate departments when necessary.
  • Maintain a professional and consistent tone in written communications.
  • Draft and edit emails, ensuring clarity and correctness in all communications.
  • Assist in preparing reports, presentations, and other documents to support business operations.
  • Manage office supplies and equipment, ensuring availability and functionality.
  • Collaborate with cross-functional teams to streamline administrative processes and improve efficiency.

Requirements:

  • Strong attention to detail and organizational skills.

  • Excellent administration skills and ability to maintain confidentiality.
  • Strong support skills and ability to work as part of a team.
  • Good communication and interpersonal skills.

  • Review and proofread documents to identify and correct errors before dissemination.
