Administrative Coordinator to Senior Management

Key Responsibilities
We are seeking a highly skilled and organized Administrative Coordinator to provide exceptional support to our Senior Management team. Your primary focus will be on:
- Effective telephone call screening and handling, ensuring timely communication with internal and external stakeholders.
- Efficient email and calendar management for senior leaders, maintaining precise records and schedules.
- Monitoring and cascading domestic and international communications, ensuring seamless information flow.
- Maintaining accurate document logs, preparing comprehensive reports, and consolidating documents as required.
- Scheduling and preparing meetings, including agendas, invitations, minutes, meeting room booking, and welcoming guests when necessary.
- Managing deadlines efficiently and ensuring timely task completion.
- Coordinating travel arrangements and processing incoming and outgoing post and parcels.
- Developing and maintaining digital document management systems, adhering to industry standards.
- Procuring IT equipment, software, and training plans, as well as assisting with new colleague onboarding and maintaining trackers.
- Providing exceptional communication and coordination with other departmental secretaries, ensuring seamless team support.
- Assisting with presentation preparation and collaborating with the Procurement and Facility Management teams on ad hoc projects.
Requirements
To succeed in this role, you will need:
- Previous experience in a similar administrative capacity, preferably supporting senior leaders.
- Punctuality, reliability, and flexibility are essential.
- A keen eye for detail is critical in maintaining accuracy and precision.
- Friendly and approachable demeanor, with excellent communication, planning, and organizational skills.
- A genuine passion for delivering high-quality administrative services, with a focus on efficiency and effectiveness.
- Trustworthiness and discretion, as you will be handling confidential and sensitive information.
- Proficiency in MS Office (Word, Excel, PowerPoint) and a creative approach to problem-solving.
- German language skills are advantageous but not essential.
