Job Title: Facilities Administrator

We are seeking a highly organized and detail-oriented Facilities Administrator to join our team at Integral UK. As a key member of our facilities management team, you will be responsible for providing administrative support and ensuring the smooth operation of our facilities.

Key Responsibilities:
  • Operate the CAFM system, receiving and managing reactive and planned events, and ensuring timely communication with stakeholders.
  • Update the CAFM system with accurate and detailed records of events, including audit trails.
  • Ensure compliance with statutory and contractual obligations, including PPMs and FM portal uploads.
  • Work closely with the Engineer Supervisor to manage subcontractors and ensure contract compliance.
  • Manage Requests for Information and extension of time processes, ensuring accurate recording and client approval.
  • Interpret and analyze data to meet management and client needs.
  • Assist with the development of the weekly newsletter and ensure works are booked in with buildings through calendar invites.
  • Operate with safe working practices, adhering to Health and Safety regulations, COSHH, and waste disposal policies.
  • Monitor and log accidents and incidents as necessary.
  • Contribute to the efficient and effective working of the Facilities Management function.
Requirements:
  • Excellent communication and organizational skills.
  • Ability to work independently and as part of a team.
  • Good understanding of databases, word processing, and the internet.
  • Flexible approach to work and time commitment.
  • File management and administrative skills.
