About the Role

We are seeking a highly organized and detail-oriented Fleet Sales Coordinator to join our team at Vospers. As a key member of our sales department, you will play a crucial role in ensuring the efficient administration and accounting of our sales operations.

Key Responsibilities
  • Account Management
    • Support customer accounts with updates, availability, and quotations
    • Collaborate with the team to arrange vehicle preparation with the PDI department and ensure vehicle handovers and deliveries are arranged in a cost-effective manner
    • Maintain accurate records in Salesdocs in a timely manner
  • Sales Administration
    • Build orders in Drive as required to match quotes and POs
    • Issue POs and add costs for accessories
    • Add or check manufacturers' bonuses to vehicles if required
    • Set up stock books for direct sales as necessary
    • Process new vehicle stock orders and contracting of sold orders
    • Print and scan manufacturers' paperwork as required
  • General Fleet Activity
    • Support the Business Centre Manager with accurate daily reporting of sales numbers
    • Creation of vehicle deal envelopes for part exchanges and ensure they are fully completed and disposed of via auction in a timely manner
    • Processing of invoices and credit notes against stockbooks
    • Provide assistance to sales staff and manufacturers as required
    • Ensure CRM records are correctly created and maintained as required
    • Provide cover as necessary for other members of the department, including at remote sites
    • Stay up-to-date with all product knowledge of the entire range and comparable product ranges of Vospers' competitors
    • Work with the Business Centre Manager to discuss the needs of Vospers and your own team
    Requirements
    • Excellent communication skills, both in person and in writing
    • Ability to work in a fast-paced environment and prioritize tasks effectively
    • Strong organizational and time management skills
    • Proficiency in using sales and administrative software
    • Ability to maintain confidentiality and handle sensitive information
    • Flexibility to work in a dynamic environment and adapt to changing priorities
