Job Summary

We are seeking a highly skilled and experienced Executive Assistant to provide administrative support to our Senior Leadership team. The ideal candidate will have a proven track record of providing exceptional support to senior executives, managing complex schedules, and coordinating travel arrangements.

Key Responsibilities
  • Calendar Management: Efficiently manage the schedules of senior executives, including scheduling meetings, appointments, and travel arrangements. Coordinate with internal and external stakeholders to optimize time and ensure timely and effective communication.
  • Event Planning: Plan and organize personal and professional events, including large-scale international customer events in coordination with the Marketing and Travel teams.
  • Travel Arrangements: Plan and book all personal travel arrangements, including flights, accommodations, and ground transportation. Prepare detailed travel itineraries and ensure travel documents (passports, visas, etc.) are up-to-date and in order.
  • Information Management: Organize and maintain confidential information, documents, and records. Manage electronic and physical filing systems, maintain databases, and ensure data security and confidentiality.
  • Support to Senior Executives: Provide administrative support to senior executives, including preparation for upcoming engagements and key meetings. Produce and log meeting minutes and prepare documentation as requested.
  • Expense Management: Process expense claims via Concur.
  • Team Support: Work as part of the London PA/Administration team to provide cover to other PAs in absence.
Requirements
  • Strong Interpersonal Skills: Ability to set and implement priorities, manage multiple tasks to tight deadlines with high service levels. Strong written and verbal communication skills and the ability to actively listen.
  • Discretion and Confidentiality: Ability to maintain confidentiality regarding financial, personnel, and other information.
  • Proactive and Flexible: Ownership and initiative – proactively taking on projects and seeing them through to completion. Positive, can-do attitude – willing and able to adjust to multiple demands, shifting priorities, and demonstrating flexibility with an eager-to-help persona.
  • Experience: Has experience in a similar role, e.g., a PA/EA.
