About the Role

We are seeking a highly organized and detail-oriented individual to provide administrative support to our Company Secretary team. As a Corporate Governance Support Specialist, you will play a crucial role in ensuring the smooth operation of our corporate administration functions.

Key Responsibilities

  • Assist in the preparation of board and committee meetings, including coordinating logistics and ensuring all necessary documents are in order.
  • Maintain statutory books and records, and take the lead on gathering documents in advance of meetings and loading on Board Intelligence.
  • Communicate with internal and external stakeholders on behalf of the Company Secretary, providing exceptional customer service and ensuring timely responses to queries.
  • Perform administrative tasks such as tracking correspondence and ensuring all matters are being attended to.
  • Organize and maintain files and documents, ensuring they are up-to-date and easily accessible.
  • Assist the Company Secretary in preparing for board and committee meetings, including drafting meeting materials and ensuring all necessary information is available.
  • Handle confidential information with discretion and maintain the highest level of professionalism at all times.

Requirements

  • Experience in an administrative support role, preferably in a legal or company secretarial environment.
  • Strong IT skills, including proficiency in Microsoft Office and Board Intelligence (training can be provided for the latter).
  • Ability to operate in a complex environment, liaise with multiple stakeholders across various key business functions, and respond to challenges promptly and effectively.
  • Excellent communication and interpersonal skills, with the ability to build strong relationships with colleagues and external partners.
  • Highly organized and detail-oriented, with a strong focus on delivering high-quality results.
